Know Which Kind of Digital Document You Hold

Understanding a document’s origin and storage location helps citizens organise digital records, ask more precise service questions, and avoid assuming every saved file has the same status.

A digital document can be easy to save and difficult to understand. A downloaded certificate, an uploaded scan, and a photograph of a paper may all appear as files on a device. Their similar appearance does not tell you how they were produced or what a receiving service expects. A useful habit is to keep the document's origin connected to the file.

DigiLocker's official FAQ distinguishes documents issued through connected agencies from documents uploaded by the user. Read that explanation when using the service, and consult the receiving institution's current instructions for a particular task. Do not assume that every file stored in the same place will be treated identically. The question is about the specific document and the specific service, not just the folder containing it.

Use a simple record to note the issuer, document type, and where you obtained it. If you are unsure which item you hold, ask a focused question through official support. Avoid changing a file's appearance merely to make it resemble another category of document. Organisation should make the original clearer, with labels that help you find and describe it accurately.

When helping someone, explain the distinction without promising acceptance by another institution. Let the document holder control sharing and decide what to submit after checking the instructions. Digital confidence includes understanding provenance as well as knowing how to download. A tidy collection of records is useful when people can explain where each item came from and what question its source can answer.
